Eligibility for Employment

A student is eligible to work as a student employee if he/she meets the following requirements:

The Payroll Department

If the stud= ent has not worked in the past, or if the student has had a break in employment for one year or more, the student will = need to go to Human Resour= ce Department to sign in prior to the first day of employment. The student will need to bring documents required for = I-9 completion. Please contac= t the Human Resource Department or your work program coordinator for a list of acceptable I-9 documents.

While visit= ing the Human Resource Department, the student will be asked to = complete the following necessary paperwork: Applic= ation, New hire form, W4, K4= , I-9, Drug form, Bio-hazard form, Computer usage form, Background Check, KTRS Retirement form, Illegal Discrimination form, Securi= ty Training, Harassment Training, and Direct Deposit form. (30 = minutes)

Once the st= udent has been approved, Human Resources will e-mail the supervisor either that day or the next to inform t= he department that the student= is eligible to begin working. The student will not be able to start working prior to visiting and being approved by Hu= man Resources.

Number of Hours Worked

During a regular semester (fall and spring) a student may work a maximum of 20 hours per week. This policy <= /span>applies for all students, including those who work= more than one job on-campus. For example, if a student = works in two different departments, the student wi= ll need to divide the 20 hours between the two departments.

During the break and recess periods (summer and winter breaks, fall and spring recess), students can work= up to and no more than 37.5 hours pe= r week per approval from = the Financial Aid Coordinator.

Absences and Time= Off

A student is expected to report to work at the time the student and = the supervisor have agreed upon. If a student is u= nable to work or will be arriving mo= re than 10 minutes late, the student should contact the supervisor no later than the beginning= of the scheduled work per= iod, or as far in advance as possible.

If the stud= ent knows ahead of time he/she needs to take time off, i.e. a vacation day or doctor's visit, the student will= need to clear it with the supervisor prior to that day. This also includes leaving work early. Leaving work early without first clearing i= t with the supervisor is cons= idered an unexcused absence and may lead to dismissal or a penalty.

Student emp= loyees are not eligible for paid vacation, holidays, sick leave, or unemployment.

A customer is anyone that you provide a service to.

lStudent employees are representatives of the Colle= ge and their department. It is expected that students will represent both well. One of the ways a student can be a good representa= tive is through the utiliz= ation of strong customer service. Strong customer service requires quality work, prompt service, and= a good attitude. All of= these skills will help a student in fulfilling his/her job responsibilities as well as assist him/her in beco= ming a marketable employee after graduation.

A good rule to follow is to remember that each per= son being assisted, whether = it is a student, a faculty member, staff member, or anyone else, is unique. He/she is not aware tha= t the same question has been = asked countless times before. Confidentiality

Any College employee, including student employees, will almost inevitably come across or have access to confidential information. It is imperative that th= is information remain confidential.

Hazard Community and Technical College is in compliance with the Family Education Rights and Privacy Act of 1974 (FERPA). FERPA is a federal la= w that protects the privacy of all student education= records.

Protecting the confidentiality of student information is a high priority for the College. Any information reg= arding a student, past or present, should not be discussed outside of the office or given to anyone without the student's prior written consent.

Each manager should discuss with the student how to handle confidential information appropriately with= in their own operation. When working with confidentia= l information, regardless of whether the information= pertains to a student, staff or faculty member, al= l precautions must be taken to insure that the information is not left for others to see. If a student employee is working on a computer, he/she needs to= make sure the screens are not left in the view of = others. If someone is working with a paper file, t= he file should not be lef= t out for others to view. Computer passwords should not be given out in any circumstance.

Student workers may not bring their children to th= eir work site, whether the work s= ite is on or off campus.

1	Student Employme= nt Orientation Hazard Community & Technical College Steps to Successful Student Employment!
2	Introduction= Welcome to Hazard Community and Technical College (HCTC) Student Employment and Orientation program. On-campus student employment is = an opportunity for students, like you, to gain valuable work experience while attending school. Students not only develop professional skills like effective communication and proper customer service, but also personal skills, such as organization, presentation, and time-management.
3	Purpose The purpose of this orientation is to provide training on work environment expectations as well as critical information such as pay= roll and general office procedures (i.e. calling in sick) for each student employee. In addition, the student employee's responsibility for handling confidential and sensitive information is also addressed in= the orientation. What follows is an orientation to student employment, o= ur expectations of student employees, and various policies you need to = know in order to do your job well. .
4	"This orien= tation is broken into..." This orientation is broken into four sections, with a quiz at the en= d of the four sections. Introduction Customer Service Confidentiality Employer’s Expectations When you have completed the entire course, you will be presented wit= h a certificate of completion. This certificate is to be signed by you, = copy presented to your supervisor and a copy should be given to HR to be placed in your personnel file.
5	Eligibility for Employment A student is eligible to work as a student employee if he/she meets = the following requirements: Current student at Hazard Community and Technical College. Enrolled/registered at least half-time in a regular semester as a academic new or continuing student. In good standing (2.0 GPA or above) Apply for Financial Aid using FAFSA and must have unmet need (appli= es to Federal Workstudy only) If any one of the above mentioned requirements change, a student will not be eligible to continue employment as a student employee.
6	The Payroll Depa= rtment If the student has not worked in the past, or if the student has had= a break in employment for one year or more, the student will need to g= o to Human Resource Department to sign in prior to the first day of employment. The student will need to bring documents required for I-9 completion. Please contact the Human Resource Department or your work program coordinator for a list of acceptable I-9 documents. While visiting the Human Resource Department, the student will be as= ked to complete the following necessary paperwork: Application, New hire form, W4, K4, I-9, Drug form, Bio-hazard form, Computer usage form, Background Check, KTRS Retirement form, Illegal Discrimination form, Security Training, Harassment Training, and Direct Deposit form. (30 minutes) Once the student has been approved, Human Resources will e-mail the supervisor either that day or the next to inform the department that= the student is eligible to begin working. The student will not be able to start working prior to visiting and being approved by Human Resource= s.
7	Number of Hours = Worked During a regular semester (fall and spring) a student may work a max= imum of 20 hours per week. This policy applies for all students, including those who work more than one job on-campus. For example, if a student works in two different departments, the student will need to divide = the 20 hours between the two departments. During the break and recess periods (summer and winter breaks, fall = and spring recess), students can work up to and no more than 37.5 hours = per week per approval from the Financial Aid Coordinator.
8	"Student em= ployee paydays are on..." Student employee paydays are on the 15^th and 30^{th of each month. If the payday falls on a weekend day or a holiday, pa= yday will be on the last work day prior to the payday.} Pay Periods are the 1^st thru 15^th and the 16th thru the last day of each month. The employee should record the total hours worked daily on their timesheet NOT the start time and end time. Minutes need to be calculated as follow: 1 minute to 15 minutes - .25 16 minutes to 30 minutes - .5 or .50 31 minutes to 45 minutes - .75 46 minutes to 60 minutes - 1 hour
9	Paydays/Timesheet Process Cont. Breaks – If you work 3.00 hours up to 5.00 hours – employee must take a 15 minute paid break More than 5.00 hours up to 6.00 hours – employee must take a= 30 minute unpaid lunch and one 15 minute paid break 6.00 to 7.5 hours – employee must take a 30 minute unpaid lu= nch and two 15 minute paid breaks. (Please do NOT record lunch time as part of your total hours worked on your timesheet) Timesheet is to be signed by employee and immediate supervisor. Timesheets are stamped with a due date; employees are responsible for having their supervisor to submit their timesheet in the Business Of= fice on this due date. Late timesheets will result in late pay.
10	Absences and Ti= me Off A student is expected to report to work at the time the student and = the supervisor have agreed upon. If a student is unable to work or will = be arriving more than 10 minutes late, the student should contact the supervisor no later than the beginning of the scheduled work period,= or as far in advance as possible. If the student knows ahead of time he/she needs to take time off, i.= e. a vacation day or doctor's visit, the student will need to clear it wi= th the supervisor prior to that day. This also includes leaving work ea= rly. Leaving work early without first clearing it with the supervisor is considered an unexcused absence and may lead to dismissal or a penal= ty. Student employees are not eligible for paid vacation, holidays, sick leave, or unemployment.
11	FRAUD & Consequences of Fraud FRAUD Employees commit fraud by: Falsifying timesheets (this includes recording hours you did not actually work, even if you were scheduled to work). Earning more than the amount awarded. Consequences of Fraud Repayment of unearned funds. Loss of privilege to work for the College for semester during which infraction occurred and one additional semester.
12	Performance Eva= luations Since performance evaluations are important tools for an employee's growth and development, a performance evaluation will typically be g= iven to the student at the end of the each semester of employment. If a supervisor deems it necessary, he/she may conduct a performance evaluation at any time.
13	Duration of Emp= loyment At HCTC, student employment is part-time, usually semester to semest= er in nature, rather than college employment (ex. Faculty, staff, etc).= A student's employment may end at any time for the following reasons:<= /li> Unsatisfactory Evaluation Serious Misconduct Failure to Report to Work Without Prior Notice Position Abolishment Voluntary Resignation Budget Limitations (e.g. FWS & RTW award is exhausted) Workload Shifts Breaching Confidentiality *If the student chooses to voluntarily resign, it is common business practice that the student gives a 2 week notice. Employers depend on= the student employee to keep operations going and need this time to fill= the vacancy.
14	Customer Servic= e A customer is anyone that you provide a service to. Student employees are representatives of the College and their department. It is expected that students will represent both well. O= ne of the ways a student can be a good representative is through the utilization of strong customer service. Strong customer service requ= ires quality work, prompt service, and a good attitude. All of these skil= ls will help a student in fulfilling his/her job responsibilities as we= ll as assist him/her in becoming a marketable employee after graduation= . A good rule to follow is to remember that each person being assisted, whether it is a student, a faculty member, staff member, or anyone e= lse, is unique. He/she is not aware that the same question has been asked countless times before. To him/her, it is the first time this questi= on has ever been asked. 15	Disgruntled Cus= tomers If you are working with the public, there will be times you will be faced with a disgruntled individual. Always remain polite, even if at times you may need to be a little firm. Do not interrupt the individ= ual, and apologize for any inconvenience he/she may have experienced. If = the disgruntled individual is unable or unwilling to accept your help, o= r if you feel this individual is getting to be more than you are able to handle, contact your supervisor immediately.
16	Telephone Etiqu= ette Whether a student uses the phone all the time for his/her current position or he/she rarely uses the phone, it is imperative that he/s= he have strong phone skills. These skills incorporate everything from answering the phone, to assisting the individual on the other line, = to transferring the call to the appropriate office, if necessary, and taking messages or transferring to voice mail. A student should ask his/her direct supervisor for any policies his/= her department may have regarding answering the telephone.
17	Basic Phone Etiquette Do’s Answer the phone by saying: “Good morning/afternoon Department name office”, = Your Name, student worker speaking, may I help you? Remember to say your name Smile, people can hear it in your voice Ask the caller, “May I ask who’s calling, please?”= Offer voice-mail if someone is unavailable and/or if there is someone else that can help.
18	Basic Phone Eti= quette Don’ts Speak too fast Forget to write down a full name and phone number, time and date. Be embarrassed to ask for correct spelling. Forget to notify office personnel of phone message.
19	Taking a Messag= e When the individual the caller is requesting is not available, let t= he caller know and then offer to either take a message, direct the call= to someone else (if appropriate), or transfer the person to the request= ed party's voice mail. If the individual would like to leave a message, please make sure to= the put the date, the time, the person's name, the company or department= the caller is with, the phone number, the nature of the call and your na= me on the message. Inform the caller that you will pass on the message = and that the individual he/she is calling will get back to the caller as soon as he/she is able
20	Transferring th= e Call If the caller needs to be transferred to another office, it is impor= tant to do so correctly and efficiently. There is nothing more frustratin= g as a caller than being transferred to the wrong place. When transferring someone, please make sure to transfer them to the right office and t= he correct extension. Also, let the individual being transferred know w= hat office and extension he/she is being transferred to just in case he/= she gets disconnected or needs to call back at a later date.
21	Confidentiality= Any College employee, including student employees, will almost inevitably come across or have access to confidential information. FERPA is a federal= law that protects the privacy of all student education records. Protecting the confidentiality of student information is a high prio= rity for the College. Any information regarding a student, past or presen= t, should not be discussed outside of the office or given to anyone wit= hout the student's prior written consent.
22	"When a St= udent Employee signs..." When a Student Employee signs in with Payroll, he/she will be requir= ed to sign a confidentiality agreement. Any breach of this contract may lead to immediate dismissal Each manager should discuss with the student how to handle confident= ial information appropriately within their own operation. When working w= ith confidential information, regardless of whether the information pert= ains to a student, staff or faculty member, all precautions must be taken= to insure that the information is not left for others to see. If a student employee is wo= rking on a computer, he/she needs to make sure the screens are not left in= the view of others. If someone is working with a paper file, the file sh= ould not be left out for others to view. Computer passwords should not be given out in any circumstance.
23	"HCTC may = not disclose information..." HCTC may not disclose information contained in education records wit= hout the student’s consent, except under certain limited conditions. For exampl= e, the College may disclose what is considered to be “directory” information unless the student has restricted disclosure of such information with the Registrar’s Office. In addition, the College can release information to a school officia= l if it can be determined that the individual has a legitimate educational interest, i.e. if the official is performing a task that is specifie= d in his/her job description, by contract agreement, is related to a student’s education, or to the discipline of a student. Faculty members do not have access to student academic records unless their job duties specifica= lly require access.
24	"When a st= udent begins attending..." When a student begins attending a post secondary institution, regard= less of age, FERPA rights transfer to the student. Concerns such as progress i= n a course, deficiencies in a subject area, scores and grades on papers, exams, etc. are all examples of personally identifiable information = that constitute part of the student’s education record. This information is protect= ed under FERPA and parents may not have access unless (1) the student provides written authorization that specifically identifies what information may be released to the parent(s) or (2) the parent(s) establish that the student is a dependent according to the Internal Revenue Code of 1986, Section 152. All students' personnel records are confidential and must be shredded when they are discarded.
25	Employer’s Expectations In accepting a student employee position at HCTC, a student assumes = work responsibilities for which s/he will be held accountable. The College requires that t= hose persons associated with the College conduct themselves ethically in accordance with what are generally accepted as “standard busin= ess practices”. A student employee should: always report to work on time and let supervisor know that s/he is reporting to work. immediately bring to her/his supervisor’s attention any probl= ems or concerns she/he may have pertaining to her/his job. perform the duties assigned to the best of her/his ability. respond positively to constructive criticism. be courteous with persons being served, especially in the welcoming= of new students. Treatme= nt of the public is important, and it matters to every individual served.= respect others at all times. always maintain a calm, professional manner.
26	Greeting Custom= er When greeting a customer, the student employee should Acknowledge someone’s arrival and always greet the person immediately. If a stu= dent employee is working on a project or talking with another person, th= at student should stop what s/he is doing and offer assistance. Let the next person know you will help her/him next by saying, “I’ll be with you in just a moment”. A nod or friendly eye cont= act with the person is required. Ask enough questions to determine what services are needed. Ask a staff member if the answer to a question is not known. It is better to ask than to guess and give out the wrong information or send a person away with= out at least trying to help. Immediately excuse yourself and notify one of the staff should some= one become rude or verbally abusive.&n= bsp; Let a staff member take over.
27	General Job Expectations Student workers may not bring their children to their work site, whether the work site is on or off campus. Food and drinks are not allowed in the reception area of an office = at any time. Students are discouraged from spending time at their work site when they are not scheduled to work. Except for family emergencies, personal incoming and outgoing telep= hone calls should be kept to a minimum. Friends may not visit student workers, or study with student workers while on duty. Personal use of office equipment (copier, computer, typewriter, fax machine, etc.) and supplies is prohibited.
28	Computers Remember: Computer use while at work is limited to office work. Please do not upload programs onto the college computers. Do not play games on the computer, remember you are at work. Playing games and internet games on the computers are considered violations= of KCTCS policies since they could hinder the speed of the network.
29	Dress Personal appearance, cleanliness and modesty are very important in = any business or working environment.&nb= sp; It should be suitable to the work that is performed and the environment in which the work is performed. General suggestions for any workplace would be: You should never wear any garment with an offensive or suggestive saying or logo. Females should refrain from wearing shorts or mini skirts; spaghetti straps, camisoles, tube tops, halter tops – unless worn under jacket, shell or other covering; no midriffs showing. Males should refrain from wearing tank tops and muscle shirts; no shorts or extremely baggy pants.

31	Reminders Please inform your supervisor if you wish to transfer to another department by providing at least a 3 day notice. This will allow them time to find a replacement. Remember, you are here to be a student first but you should treat th= is job with respect. Check your student email on a regular basis for news and updates.
